If you have multiple projects in Lasso and would like to be able to send a mass mail to registrants in different projects all at one time, you can use a Marketing project. Once your Lasso client director sets the Marketing project up for you, you no longer need to go into each individual community project to send your mass mails. All can be done from the Marketing project.

The purpose of the Marketing project is to mass mail registrants across all community projects at one time, not to manage them. Adding and updating registrants, and creating and completing activities and appointments should be done in the community projects, not  in the Marketing project. Do not  update registrant profiles in the Marketing project as they will not  be automatically updated in the community projects.

All leads that are added to a community project are also automatically added to the Marketing project. When registrants are added to the Marketing project, they are given the rating they have at that time. For example, if Joe Smith is added to project 1 with a rating of N, he is automatically added to the Marketing project with a rating of N. When ratings are updated in a community project, they are not  automatically updated in the Marketing project. If Joe's rating is updated to A in project 1, it will remain as N in the Marketing project. If a registrant is deleted from a community project, they are not  automatically deleted from the Marketing project but rather must be deleted manually.

Features of Marketing Project

Marketing project features include: 

  • A mass mail can be sent to registrants across multiple community projects via the Projects filter on the Custom Lists page.
  • Custom list functionality can be used to select criteria based on ProjectsRating, and Questions.
  • A custom list generated in the Marketing project will contain all registrants that have the selected criteria in the selected community projects. Do not  select the Marketing project when selecting projects.

Note:  The registrant list pulled in the Marketing project may display different ratings than selected ratings because the registrants may not have the same rating in the Marketing project as they do in a selected community project.

Example: The rating of A and projects 1 and 2 are selected as the criteria for a custom list in the Marketing project. Registrant 1 has an A rating in project 1, a B rating in project 2, and an N rating in the marketing project. A custom list generated in the Marketing project will contain Registrant 1. Registrant 1’s rating in the custom list will show as N because that is Registrant 1's rating in the Marketing project.

  • When a new registrant is added to a community project, that registrant is also automatically added to the Marketing project. Updates made to registrants in community projects are not  automatically reflected in the Marketing project. Do not  make updates to registrants in the Marketing project.

Note: New traffic added to community projects will be counted for those projects as well as for the Marketing project. This will impact total traffic counts in the Aggregate Traffic Activity and Aggregate Traffic Summary by Sales Rep Reports in the Client Admin Center as well as any custom reports that provide total counts of traffic across multiple projects.

  • When a registrant is added to a community project and therefore added automatically to the Marketing project, the registrant will have the same rating in the Marketing project as they do in the community project. When a registrant’s rating in a community project is updated, their rating in the Marketing project is not  automatically updated. Do not make updates to registrants in the Marketing project.

Example: Registrant 1 is added as an Online Registration to project 1 and automatically given an N rating. Registrant 1 will have an N rating in project 1 and an N rating in the Marketing project. Registrant 1 is contacted by a sales rep who then changes Registrant 1's rating in project 1 to a B. Registrant 1's rating in project 1 is now B but it is remains as N in the Marketing project.

  • A registrant that is added to a project with an assigned sales rep will be added to the Marketing project with the same assigned sales rep only if  that sales rep is associated to the Marketing project. If the sales rep is not  associated to the Marketing project, the registrant will not  be assigned to a sales rep in the marketing project.

Example: Registrant 1 is added to project 1 and assigned to sales rep 1 at the time of entry. Sales rep 1 is associated to project 1 and the Marketing project. Registrant 1 will be assigned to sales rep 1 on both projects. If sale rep 1 is not associated to the Marketing project, the registrant will be unassigned in the Marketing project.

  • If Primary Assigned Sales Rep is selected in the Send From field when sending a mass mail from the Marketing project, the mass mail will come from the primary sales rep assigned to the registrant in the Marketing project. If the registrant is unassigned in the Marketing project, the mass mail will come from the user that is sending the mass mail. If a specific sales rep is selected in the Send From field, the mass mail will come from the selected rep.

Example: Registrant 1’s primary assigned sales rep in Project 1 is sales rep 1 and their primary assigned sales rep in the Marketing project is sales rep 2. Sales rep 3 is logged into the Marketing project and selects Primary Assigned Sales Rep as the Send From. The mass mail to Registrant 1 will come from sales rep 2 because they are the primary assigned rep in the Marketing project. If the registrant is not assigned to a sales rep in the Marketing project, the mass mail will come from sales rep 3 (the user sending the mass mail).

 

  • If you want to send a mass mail to registrants with an opted-out email address, uncheck the Exclude Opt-Out box in the Project filter. By default, registrants with an opted-out email address (regardless of project) will not be sent a mass mail.

Example: Registrant 1 is on project 1 and project 2. Registrant 1 is opted-out on project 1 and opted-in on project 2. A list containing registrant 1 will not be sent a mass mail from the Marketing project unless the Exclude Opt-Out box is unchecked.

Dos and Don'ts  When Using Marketing Project

There are a few things to consider when using the Marketing project:

  • Do  test your mass mail before sending to your registrant list.
  • Do  make sure that sales reps sending mass mail from the Marketing project have a project or corporate email address associated to their user account for the Marketing project.
  • Do  allow only one or two sales reps access to the Marketing project and permissions to mass mail. 
  • Do  associate the marketing and demographic questions that are associated to your community projects to the Marketing project so that you can segment your registrant list based on those community project questions and answers, if you choose.
  • Do not add registrants directly to the Marketing project. Add them to the community projects and they will be automatically added to the Marketing project.
  • Do not add activities or appointments in the Marketing project. Activities and appointments should be added and completed in the community projects only.
  • Do not  update registrant profiles in the Marketing project. The updates will not  be reflected in the community projects.
  • Do not  select the Marketing project when selecting the projects you want to pull registrants from. Your registrant list should be pulled based on the selected criteria in the selected community projects, not  the Marketing project as registrant profiles should not be updated in the Marketing project.

Send Mass Mail from Marketing Project

Note: Always test your mass mail before sending to your registrant list.

1 – Click on Lists and then Create custom list or click on plus.gif  in the Custom Lists panel.

marketing11.gif2 – Select the Projects that you want to pull the registrant list from, along with other criteria that targets your mass mail to specific registrants. Do not select the Marketing project. You want to pull registrant lists based on criteria as updated in the community projects. Registrants in the Marketing project are not automatically updated after initial entry.

3 – Click Go above the Save list as field or under Sales Details to generate the registrant list.

Note: If you want to send a mass mail to registrants with an opted-out email address, uncheck the Exclude Opt-Out box in the Project filter. By default, registrants with an opted-out email address (regardless of project) will not be sent a mass mail.

4 – Click Select All and then Mass Mail.

Note: If you select Primary Assigned Sales Rep, the mass mail will come from the primary assigned sales rep on the Marketing project, not the community projects. Ensure that sales reps in the marketing project have a project or corporate project email address so that mass mails do not come from the default mylasso email address.

6 – Select the Template. Be sure that you have sent a test email containing the template before going to the next step.

7 – Click Send at the top of the page or bottom of the dialogue box.
