About Email Filters

In the Filters area of the Mail Center, you can set an automatic response to all incoming messages (e.g. vacation) or define particular criteria with which to filter messages. You can also create sets of filters to categorize them.

To access filters:

1 – In the Mail Center, click the Settings tab.Mail Center

2 – Click on Filters.

1 – In the Mail Center, click the Settings tab.

2 – Click on Filters.
3 – If you would like your new filter to reside within a Filter set, click on the appropriate Filter set name. Otherwise, skip to next step. 
4 – Click on the + under Filters.

5 – Under Filter Definition, enter a Filter name in the space provided.
6 – Under For incoming mail, select the parameters and how you want them to be applied:

  • matching all of the following rules – only messages containing all parameters will be filtered
  • matching any of the following rules – messages containing any parameters will be filtered
  • all messages – all messages will be filtered

7 – If you selected a or b above, select the parameters for your message from the dropdowns that appear.

Note: The Parameter options are not displayed if all messages is selected.

8 – Under execute the following actions, select from the dropdowns.

9 – When you are satisfied with your filter selections, click Save.

Your filter will be listed in the Filters section.

Add Email Filter Set

Note: Only one Filter Set can be active at a time.

1 – In the Mail Center, click the Settings tab.Mail Center

2 – Click on Filters.
3 – Click on the + under Filter sets.

4 – Under New filters set, enter a Filters set name in the space provided.
5 – Select from the Filters options and Save.

Your filter will be listed in the Filter sets section.

Because only one filter set can be active at a time, the filter set you create will not be enabled automatically. To enable, click on the filter, then click on the wheel button below it and select Enable/Disable. When the filter set is disabled, it will be greyed out.

Enable/Disable Email Filter

1 – In the Mail Center, click the Settings tab and click Filters.

2 – Click on the filter you want to enable or disable.
3 – There are two ways to disable or enable a filter:

a) Click on the wheel button at the bottom of the Filters section and select Enable/Disable. The Filter disabled checkbox to the right, at the bottom of the Filter definition section will be checked or unchecked accordingly.
b) Check or uncheck the box to the left of Filter disabled at the bottom of the Filter definition section.

4 – Click Save.

A message will come up under the checkbox confirming that the filter has been saved as per the changes.

Note: The filter name will be greyed out if it is disabled.

Enable/Disable Email Filter Set

Warning: Enabling or disabling a Filter Set will enable or disable all filters within the set. This will override the enabled/disabled setting for each individual filter. A filter set that is greyed out indicates that it is disabled.

1 – In the Mail Center, click the Settings tab and click Filters.

2 – Click on the wheel button at the bottom of the Filters section and select Enable/Disable.

Note: A filter set that is greyed out in the list is disabled.

Download Email Filter

1 – In the Mail Center, click the Settings tab and click Filters.

2 – Click on the filter set you want to download.
3 – Click on the wheel button at the bottom of the Filters section.
4 – Select Download.

5 – The filter set will be downloaded to a text file (.txt).

Update/Edit Email Filter Details

1 – In the Mail Center, click the Settings tab and click Filters.

2 – Click on the filter you want to edit.
3 – Make the changes as desired and Save.

Delete Email Filter

1 – In the Mail Center, click the Settings tab and click Filters.

2 – Click on the filter you want to delete.
3 – Click on the wheel button at the bottom of the Filters section.
4 – Select Delete.

5 – A message will come up asking if you want to delete the filter. Click OK to delete.

The filter will be removed from the system.

1 – In the Mail Center, click the Settings tab and click Filters.

2 – Click on the filter set you want to delete.
3 – Click on the wheel button at the bottom of the Filters section.
4 – Select Delete.

5 – A message will come up asking if you want to delete the filter set. Click OK to delete.

The filter set will be removed from the system.
