About History Types

History Types are used to track all contact that is made with registrants. Each time a sales rep makes contact with a registrant, the details of that contact can be added as history in the registrant profile, whether it be phone, email, appointment, etc. The History panel in the registrant profile displays all history at a glance. Completed activities are automatically recorded as history.

Lasso provides a list of default History Types in the Client Admin Center. Administrators have the ability to add custom History Types as needed. History Types are accessible on all projects and users will select from the list when assigning a history item to a registrant.

The default History Types in Lasso are as follows:

  • Appointment – used when creating an entry for an appointment that has already taken place. This type is also used when scheduled Appointments with registrants are marked as Complete or Cancelled and are automatically logged to contact history.
  • Email – used to automatically log all email correspondence (outgoing and incoming) with registrants when sending email via Lasso. Can also be used to manually log an email entry if needed.
  • Email Reply – used to automatically log all email replies (outgoing and incoming) with registrants when sending email via Lasso. Can also be used to manually log an email reply entry if needed.
  • Fax – used to log any correspondence with registrants that takes place via fax.
  • Mail – used to log any correspondence with registrants that takes place via traditional postal mail.
  • Mass Mail – used to automatically log all email correspondence with registrants via the mass mail function in Lasso.
  • Merge – used to automatically log when registrants have been merged into one profile.
  • Phone – used to manually log any correspondence with registrants that takes place via phone.
  • Return Visit – used to automatically log return visits made by a registrant after the first visit.
  • Visit – used to manually log the first visit made by a registrant.
  • Opted Out – used to automatically log when a registrant has opted not to receive mass mail about the project.
  • SSRU – used to automatically log all updates that a registrant has made to their profile via the Self-Serve Registrant Updates function in Lasso.

If there are specific History Types that you do not want sales reps to be able to select, the History Types can be hidden from list by disabling them in the Client Admin Center. The disabled History Types will no longer be visible to sales reps when adding registrant history but will be visible when generating custom lists.

To manage History Types:

- In the Client Admin Center, click Settings and select Registrant.

Add History Type

- In the Client Admin Center, click Settings and select Registrant.

3 - Click on Add History Type.

4 - A new line will appear. Enter the History Type in the space provided. Double-click in the Description field to enter a description if desired.

You can enter your History Types in two ways:

  • Click on Add History Type multiple times to add as many fields as you need and then go back and enter your History Types in the spaces provided; or
  • Click on Add History Type, enter your History Type in the space provided, and then click on Add History Type again and repeat the process as many times as needed.

5 - Click Save.

Update/Edit History Type

- In the Client Admin Center, click Settings and select Registrant.

3 - Double-click on the History Type you want to change. If you want to change the:

  • Sales Center History dropdown list – Under the Disabled bar, double-click in the line and select Yes or No from the dropdown. Selecting Yes means that it will not be visible in the History Type dropdown when adding or editing history. Selecting No means that it will be displayed in the dropdown and Users will be able to select it.
  • History Type Name – Under the History bar, double-click in the line and change the History Type Name.
  • Description – Under the Description bar, double-click in the line and change the History Type Description.

4 - Click Save.

Warning: Editing a History Type will permanently change the information for all associated registrant contact history and reports. Any History Types that are edited will be updated wherever they are used throughout Lasso, including registrant contact history and related reports. If you wish to keep any record of old History Types, create new ones instead of editing existing types.

Hide History Type

- In the Client Admin Center, click Settings and select Registrant.

3 - Under the Disabled bar, double-click in the line of the History Type you wish to hide and select Yes from the dropdown. Selecting Yes means that it will not be visible in the History Type dropdown when adding history to a registrant profile. Selecting No means that it will be displayed in the dropdown and sales reps will be able to select it.

Delete History Type

- In the Client Admin Center, click Settings and select Registrant.

3 - Click on the History Type you want to delete.
4 - Click on Delete History Type.

5 - You will be asked if you are sure you want to delete the selected item(s). Click Yes.

Warning: Deleting a History Type will permanently remove the information from all associated registrant contact history and reports. If you wish to keep any record of old History Types, create new ones instead of deleting existing types.
