About Activities

You can schedule sales activities such as phone calls or emails with your registrants from the Sales Center Home Page or the registrant profile, on an individual basis as well as for multiple registrants at one time via registrant lists. The activities you schedule will appear on the Sales Center Home Page as well as in the Activities section of the registrant profile. 

About Activities Panel on Sales Center Home Page

The Activities panel displays the activities that need to be completed and allows you to select a timeframe. Choose to see activities for:

  • Today – Shows activities scheduled for today as well as overdue activities
  • Today and Tomorrow – Shows activities scheduled for today and tomorrow as well as overdue activities
  • Next 7 Days – Shows activities for today and the next 6 days as well as overdue activities

If you are a Sales Manager, you will likely have Sales Center Home Page permissions which provide you with an Activities by Sales Rep panel where you will be able to click through to activities that need to be completed for each sales rep.

On the Activities Panel, you can:

  • Click on an activity to take you to the list of registrants where you can then go into individual registrant profiles if necessary.
  • Perform a Search via an activity by entering part of a Comment/Registrant Name or selecting a Due By option of Today, Today and Tomorrow, or Next 7 Days.
  • Send Email activities directly from the Sales Center Home Page with the Send Now option.
  • Instantly reschedule activities or delete those that are no longer applicable.

Note: The number of activities you see on the Activities panel will be impacted by your activities timeframe selection.

Display Activities Based On Selected Timeframe On Sales Center Home Page

On the Sales Center home page, you can select the timeframe for displaying activities that are to be completed.

Set the timeframe for:

  • Today – Shows activities scheduled for the current day as well as overdue activities
  • Today and Tomorrow – Shows activities scheduled for the current and following days as well as overdue activities
  • Next 7 Days – Shows activities for the next 7 days (including the current day) as well as overdue activities
  • Next 30 Days – Shows activities for the next 30 days (including the current day) as well as overdue activities

1 – In the Activities panel of the Sales Center Home Page, click on the wheel in the top right of the panel.

2 – Select Today, Today and Tomorrow, Next 7 Days, or Next 30 Days.

Note: The number of activities displayed on the Activity panel will depend on your timeframe selection.

When you click through a specific activity to see the registrants for whom the activity needs to be completed, you can perform a Search by entering part of a Comment/Registrant Name or selecting a Due By option of Today, Today and Tomorrow, Next 7 Days, or Next 30 Days.

Create Activities from Sales Center Home Page

1 – Click Activity.

2 – In the Select registrant field, enter the first few letters of the first or last name of the registrant.

3 – A list of registrants whose names contain the letters you entered will appear. Select the appropriate registrant from the list.

4 – Select the Type of activity from the dropdown.

5 – If you select an Activity other than Email, skip to the next step. If you select Email as the Activity Type, an Email Template field will appear. In the dropdown, select the email template that you want to send.

Note: You can preview the email template by clicking on Preview beside the dropdown.

6 – Select the Date of the activity.

7 – Enter activity details in the Comments field if desired.

8 – Click Create activity.

The activity will be listed in the registrant profile as well as in the Activities section of the Sales Center Home Page.

Create Activity from Registrant Profile

1 – On the registrant profile, click Actions and select Activity.

2 – In the Create Activity window, click on the dropdown in the Type field and select an activity.

3 – If you select an Activity other than Email, skip to the next step. If you select Email as the Activity Type, an Email Template field will appear. In the dropdown, select the email template that you want to send.

Note: You can preview the email template by clicking on Preview beside the dropdown.

4 – Select the Date that you want to schedule the activity for.

5 – In the Comments section, add any notes you want to include about the activity.

6 – Click Create activity.

The newly created activity will appear in the Activities section of the registrant profile, which is divided into activities that are Overdue, Today, Upcoming, and Completed. If you left the date as the default, which is the current date, the activity will appear in the Today section. If you scheduled the activity for the future, it will show in the Upcoming section. To expand or collapse the details of a section, just click on the name of the section.

Note: When you add an activity, the number in the category heading temporarily shows as orange to indicate the change.

Complete Activities from Sales Center Home Page

If completing email activities that contain templates (which will show as Email on the Activity panel), please refer to Complete Email Activities From Sales Center Home Page .

To complete activities other than Email (i.e. email that contains a template):

1 – In the Activities panel of the Sales Center Home Page, click on the activity you want to complete.

2 – Select the registrants for whom you want to complete the activity. Clicking on the category name will select all registrants in that category.

3 – Click Open Registrants to open all selected registrant profiles. Click on a registrant's name to open their profile.

4 – In the registrant's profile, click on the activity to be completed.

Note: You can go to each profile in the list by clicking the arrow to the right of the number of opened registrants.

phone3.gif5 – Select Type from the dropdown and enter other details as desired.

Note: Check Copy to Notes if you want the completed activity to show in the Notes section of the profile as well as History.

6 – Click Create history.

The completed activity will move to the History section of the registrant profile.

Complete Activity from Registrant Profile

1 – On the registrant profile, in the Activities section, click on the activity you want to complete.

Note: If the activity is not showing, expand each category by clicking on the heading to display the associated activities.

2 – If the activity is other than email, skip to Step #4.

If the activity is email, click on Compose email.

Note: In order for the email to be recorded as History, you must send it through Lasso or an email address that has been integrated with Lasso. If you click on Complete activity rather than Compose email, the activity will move to the Completed category but will not record as history.

3 – The Mail page will come up, including the email template that was selected when the activity was added. Adjust as needed and click Send.

The email will be automatically recorded as history.

4 – For activities other than email, enter a Subject and add Comments if desired.

5 – If you would like to add the completed activity to the Notes section of the registrant profile, check the box beside Copy to Notes.

6 – Click Create history.

The activity will be listed in the History section and will move to the Completed category in the Activities section. If you selected Copy to Notes, it will also show as a note in the Notes section.

Note: When you complete an activity, the number in the category heading temporarily shows as orange to indicate the change.

Compose Email When Completing Email Activity

When completing either an Email or a Personalized Email activity via the registrant profile, you must click Compose email in order to send the email. Clicking Complete activity without composing the email will mark the Email Activity as Complete but will not send it and will not record it as History.

You will see the following text under Complete Activity - Email when clicking on an email activity in a registrant profile:

To complete your activity, you must send an email.

NoteThe maximum size for an email message is 10 MB. This includes any images and attachments that are part of the message.

Complete Email Activities from Sales Center Home Page

Email activities containing templates (displayed as Email on the Activities panel) are treated differently from all other activities (including custom email activities such as personalized or video emails) when sent from the Sales Center Home Page. They are sent through Lasso’s mass mail server and are displayed in the Mass Mail panel of the registrant profile where you are able to see whether the registrant has opened the email or not.

NoteThe maximum size for an email message is 10 MB. This includes any images and attachments that are part of the message.

Scenarios Where Email Will Not Be Sent

Please be aware that, when completing email activities, email will not  be sent to registrants under the following scenarios:

  • Registrant has an opted-out email address
  • Registrant has chosen not to receive email
  • Registrant does not have an email
  • Registrant email is invalid
  • Registrant was not found (this can occur if a user loads activities and a registrant is subsequently merged or deleted while the activities page is still loaded)

For registrants that do not have an email or their email is invalid, they should be contacted with the purpose of obtaining a valid email to add to their profile in Lasso.

For registrants who have opted out or chosen not receive email via contact preference on their profile, the email activities will need to be deleted. Please refer to the section on deleting activities from the Sales Center Home Page for instruction.

For registrants that were not found, once the loaded activities page is refreshed, the activity will no longer appear as the registrant has been merged or deleted from the project.

1 – In the Activities panel of the Sales Center Home Page, click Email. activitiesemail.gif

2 – Select the registrants to whom you want to send the email. Clicking on the category name will Select All registrants in that category.

Note: If the Select All is used to check all email activities on the Sales Center Home Page, scheduled emails (i.e. those that were triggered via automated sales process) will not be checked. Scheduled emails can be checked manually and, if checked, will be sent at the time of completion rather than the scheduled time

3 – Click Actions and select Send now.

The email will be sent to the selected registrants and will be displayed in the Mass Mailings panel of the Sales Center Home Page as long as Activity is selected via the gear in the top right corner of the panel.

It will also be displayed in the Mass Mail panel of the registrant profile.

Update/Edit Activity from Registrant Profile

1 – On the registrant profile, in the Activities section, click on the activity you want to update.

Note: If the activity is not showing, expand each category by clicking on the heading to display the associated activities.

2 – Click Edit activity.

3 – Adjust the date and/or comments as necessary and click Update activity.

The activity will be updated in the Activities section of the registrant profile.

Note: When you update an activity, the number in the category heading temporarily shows as orange to indicate the change.

Reschedule Activities from Sales Center Home Page

1 – In the Activities panel of the Sales Center Home Page, click on the activity you want to reschedule.

2 – Select the registrants for whom you want to reschedule the activity. Clicking on the category name will select all registrants in that category.

Note: If you want to view the registrant profiles that you’ve selected, click Open Registrants. This will take you to the first registrant profile in the list. Click the arrow on the profile to scroll through the list. Click on a registrant's name to open their profile. If you want to open a specific profile, simply click on the registrant's name.

3 – Click Actions and select Reschedule.

4 – Select a new date from the calendar that pops up.

The activity for the selected registrants will move to the appropriate category based on the new date.

Delete Activities from Sales Center Home Page

1 – In the Activities panel of the Sales Center Home Page, click on the activity you wish to delete.

activities.gif2 – Select the registrants for whom you want to delete the activity. Clicking on the category name will select all registrants in that category.

Note: If you want to view the registrant profiles that you’ve selected, click Open Registrants. This will take you to the first registrant profile in the list. Click the arrow on the profile to scroll through the list. Click on a registrant's name to open their profile. If you want to open a specific profile, simply click on the registrant's name.

3 – Click Actions and select Delete.

4 – Click OK to delete the activities for the selected registrants.

Delete Activity from Registrant Profile

1 – On the registrant profile, in the Activities section, click on the activity.

Note: If the activity is not showing, expand each category by clicking on the heading to display the associated activities.

2 – Click Edit activity.

3 – Click Delete.

The activity will be removed from the Activities section of the registrant profile and the Sales Center Home Page.
