About Role Types and Permissions

Role Types allow you to give users access to the centers and projects that they will need in Lasso. A user can be given all role types, only one, or a combination, depending on their needs. Within each role are permissions that provide users with various functionality. All permissions within a role can be selected or only those that pertain specifically to the user.

The role types are as follows:

1Client Administrator – This is a top-level role in Lasso that is typically responsible for creating and managing user accounts, defining permissions, and managing settings such as Permission Details - ratings, source types, history types, etc. This role gives a user access to the Client Admin Center where they can give any user any permission.

2 - Project Administrator – This role allows the user to manage project settings such as sales process, follow-up process, sales rep rotation, website analytics setup, etc. in the Project Admin Center.

3 - Sales – There are two types of sales roles providing users with access to the Sales CenterSales Rep and Sales Manager. Users with a sales rep role manage their leads, taking them through the sales process to conversion. Functionality includes scheduling activities, recording registrant details and contact history, and sending emails and mass mails (with relevant permissions). Sales managers are generally given all the functionality that a sales rep has along with access to lists of all registrants, the ability to assign and unassign registrants to and from sales reps, and access to reports showing all sales reps’ activities.

Note: If you are setting permissions for a sales manager, ensure that they have the Home Page permissions that allow them to view and access sales reps' lists of registrants and activities.

The Home Page permissions are as follows:

  • Activities By Sales Rep List

This permission allows the user to see the list of sales reps with the number of activities to be completed by each. Clicking on a sales rep’s number of activities takes the user to that sales rep’s list of activities. Clicking on number for a specific activity for a sales rep brings up the list of registrants for whom the activity needs to be completed.

Without this permission, the user sees their own list of activities to be completed. Clicking on number for a specific activity brings up the list of registrants for whom the activity needs to be completed.

  • Sales Reps List

This permission allows the user to see the list of sales reps with their numbers of assigned registrants and purchasers (if the Inventory Center is being used). Clicking on a sales rep name will bring up a list of the sales rep’s assigned registrants.

Without this permission, the user does not see the sales rep list.

4 -Inventory Administrator – Responsibilities include managing inventory and contract details. This role is applicable to only those clients using the Inventory Center module.

Permission Details - Client Administrator

The Client Administrator Role allows a user to manage settings in the Client Admin Center that apply to all projects. The Client Administrator functionality includes managing user accounts and permissions, questions/answers and custom fields, and client-wide settings. Users with a Client Administrator role are able to assign any role and any permission to any user.

Following is the list of Client Administrator permissions:

>Projects – Manage Project Data Shares, Project Settings, and Registrant Duplicates as well as access a Registrant list that includes all Registrants from all Projects

>Project Data Shares – Enable or disable sharing of Registrant data across Projects, including Appointments, Assigned Inventory, assigned Projects, Audits, History, Mass Mail Statistics, Notes, Relationships, Reservations, and Tenanted Inventory

>Project Settings – Create Regions and assign Projects to Regions

>Registrant Listing

>Duplicate Management – Manage Registrant duplicates across all Projects

>Exports – Export to CSV a Registrant list containing Registrants from all Projects; list includes basic information as well as Project associations

>Registrant Settings – Manage >History Types, >Name Title Types, >Rating Types, >Relationship Types, >Source Types, and >Activity Types

>Questions - Create and manage questions used to capture Registrant information

Permission Details - Project Administrator

The Project Administrator role allows the user to manage project settings in the Project Admin Center as well as specific functions within inventory and sales.

Following is the list of Project Administrator permissions:

>Component Settings – Manage Directions and Floor Plates for Inventory

>Components – Manage Inventory Components, including Component Type, Inventory Type, Rescission Period, Deposit Bond Company, Property Tax, and Address

>Inventory Permissions – Restrict User access to specific Units

>Inventory Settings – Manage Inventory Areas, Deposit Accounts, Deposit Bond Companies, Escrow Companies, and Lender Companies

>Options and Upgrades – Manage Options and Upgrades

Integrations – Set up integrations with other applications

>Project Details – Manage Inventory sales tax as well as Sales Rep Online Registrant signup/assignment and activity notifications; enter details such as project website URL, region, launch date, time zone, and currency; view code for registration pages  (Without this permission, Users can view the Project Preferences page but cannot edit anything on the page or view the Registration Page Code.)

>Question Setup – Associate or disassociate questions to or from the Project

>Registrant Settings – Manage Secondary Source Types and Follow-up Process

>Sales Process – Manage Sales Processes that trigger activities for Sales Reps

>Sales Reps – Manage Sales Rep details including email, phone, Sales Role, and Custom fields; set up Sales Rep Rotation for Online Registrant signup notifications; assign or unassign Sales Reps from the Project

>Self Serve Registrant Updates – Set up email requests to send to Registrants that will allow them to answer questions or update details on their profile in real time

>Website Analytics – Add domains and view code for implementing Lasso Website Analytics

Permission Details - Sales Rep/Sales Manager

The Sales Role gives a user access to the Sales Center, where they can manage their registrants and activities. There are two types of Sales Roles available to users:

  • Sales Rep
  • Sales Manager

Following is the list of Sales permissions:

Home Page 

>Activities By Sales Rep List – View Activities for all Sales Reps on the Activities panel of the Sales Center Home Page

>Sales Reps List – View the list of Sales Reps and their corresponding number of Registrants and Purchasers (Status of Purchaser) on the Sales Center Home Page

Marketing

>Campaigns – View, add, edit, and delete campaigns

>Manage – View, add, edit, and delete campaigns (Note: If the Campaigns permission is checked, this permission is redundant.)

>Media Spend – View, add, delete, and edit Media Spends

>Templates – View Template lists under Marketing tab; view and select from template lists to email or mass mail registrants

>Add Template – Add Email Template

>Delete Template – Delete Email Template that user created or one that is in public folder

>Edit Template – Edit Email Template that user created or one that is in public folder

>Manage Specialized Templates – View, add, delete, and edit Specialized Templates (Note: To add, edit, and delete, user must also have general add, delete, and edit permissions as above.)

>Move Templates – Move Email Templates from one folder to another

>Registrant - Access Registrant Profiles assigned to User; assign/unassign Sales Reps for assigned Registrants; send individual emails to assigned Registrants; create appointments in assigned Registrant Profiles; create Relationships between Registrants (can create the Relationship with Registrant not assigned to User but cannot access that Registrant’s Profile); link assigned Registrants to IHMS; print assigned Registrant Profiles

Note: The View All Registrants permission allows Users to access any Registrant Profile via the Search functionality. The User does not  have to be assigned to the Registrant to access their profile.

However, when pulling up a >Registrant List, a User with a Sales Rep Role with or without the View All Registrants permission will only be able to see their assigned Registrants. If a User needs to see all Registrants via Registrant Lists, regardless of Sales Rep assignment, the User will need the Sales Manager Role.

For Users with View All Registrants and Modify All Registrants permissions, any Registrant permissions that the User has apply to all Registrants rather than just those Registrants that are assigned to them.

For example, a User can assign and unassign Sales Reps from any Registrant if they have View All Registrants and Modify All Registrants permissions. If a User does not have View All Registrants and Modify All Registrants permissions, they can only assign and unassign Sales Reps for those Registrants that are assigned to them.

>Activities

  • With Sales Manager Role, view list of open Activities for all Sales Reps from Sales Center Homepage; view Registrant list of specific open Activities for all Sales Reps; complete or edit existing Activities for assigned Registrants
  • With Sales Rep Role, view list of open Activities for assigned Registrants from Sales Center Homepage; view Registrant list of specific open Activities for assigned Registrants; complete or edit existing Activities in assigned Registrant Profiles (do not need Edit permission; do not need to be the User that created the Activity)

>Add

    • With Sales Manager Role, add Activity for all Registrants via Registrant list; add Activity in assigned Registrant Profiles
    • With Sales Rep Role, add Activity for assigned Registrants via Registrant list; add Activity in assigned Registrant Profiles

>Complete – Complete Activity in assigned Registrant Profiles (Users need only Activities permission to complete Activities.)

>Delete – Delete Activity in assigned Registrant Profiles

>Edit – Edit Activity in assigned Registrant Profiles (Users need only Activities permission to edit Activities.)

They do not need the Modify All Registrants permission for this.)

>Notes – View Notes in Registrant Profile; edit Note details (do not need Edit Note permission; do not need to be the User that entered the Note)

>Add Note – Add Note to Registrant Profile

>Delete Note – Delete Note from Registrant Profile

>Edit Note – Edit Note details

>Opt-In – Send email requesting that the Registrant opt in to receive mass mails to a specific email address for a particular project or all projects to which the Registrant is associated (do not need this permission to request opt-in)

>Opt-Out – Manually mark a Registrant as opted-out so that no mass mails are sent to a specific email address (do not need this permission to manually opt out a Registrant’s email address)

>Print Registrants – Print Registrant Profile (do not need this permission to print a profile)

>Privacy – View Date of Birthday and SSN/SIN entries on Registrant Profile (do not need Date of Birth or SSN/SIN permissions to view; need Edit Registrant permission to add or update)

>Date of Birth – same as Privacy permission

>SSN/SIN – same as Privacy permission

>Purchaser Management – View Purchaser Management dialogue box and inventory list of available units or units for registrants assigned to User, depending on View all Purchases permission

Note: Users who have the Purchaser Management permission but not the Modify All Purchases permission will be able to view the Inventory purchases but not be able to add, update, or delete Inventory purchases. Users who have the Purchaser Management permission but not the View all Purchases permission will see only the Inventory purchases of the Registrants to whom they are assigned.

>Modify all Purchases – Add/update/delete any Inventory purchase in any Registrant Profile, regardless of whether the Registrant is assigned to the User

>View all Purchases – View any Inventory purchase in any Registrant Profile, regardless of whether the Registrant is assigned to the User

>Questions – View answered Questions (must have Edit Registrant permission to update answers)

>BDX Questions – View BDX Questions

>Registrant Associate – Associate Registrant to another Project (User does not need to be assigned to the other Project to associate the Registrant)

>Registrant Import – Import contacts into Lasso

>Registrant Search – Search for Registrant using Advanced Search under Registrant tab

Note: Users with the View All Registrants permission will be able to >Search and access any Registrant Profile, regardless of Sales Rep assignment. Users without the View All Registrants permission will see only the Registrants that are assigned to them when they perform a >Search.

>Reservations – View Reservations in Registrant Profile

>Add Reservation – Add Reservation to a Registrant Profile

>Cancel Reservation – Cancel Reservation (must have Edit Reservation permission to cancel)

>Modify All Registrants – Assign/unassign Sales Reps in any Registrant Profile; modify any Registrant Profile according to Registrant permissions.

Note: Users who do not have the Modify All Registrants permission will see the Registrant permissions functionality in only those Registrant Profiles to which they are assigned.

Permission Details - Inventory Manager

Users with an Inventory role can manage purchaser information in the Inventory Center including assigning purchasers and entering contract details, updating pricing, and managing deposits.

Following is the list of Inventory Manager permissions:

>Inventory – View Inventory home page showing Inventory List with associated Plan Types and statuses; Project Overview with total revenue numbers for Options and Upgrades, Parking Stalls, Lockers, Price Revisions, and Premiums; Unit status counts; and Unit counts for Firm and Closed by Sales Rep as well as Realtor; search for Units based on specific criteria (must have Inventory Overview permission to view Unit Profile)

>Add Inventory – Add an Inventory Unit

>Availability Board Custom – View custom stacking plan (custom set-up required)

>Availability Board Graphical – View color-coded stacking plan containing Unit availability details, including status, price, and square footage

>Availability Board Textual – View list report containing Unit availability details, including status, price, square footage, Sales Reps, and Purchasers

>Contract Amendments – Add/edit/delete contract amendment details and upload Amendment documents to Unit; must also have Inventory Contract permission (For following permissions from Dates through to and including Tenants, User must also have the Inventory Overview permission in order to access individual Unit Profiles.)

>Dates – View all entered dates on Unit profiles

>Modify Inventory Dates – Add/edit Unit Contract and Optional Dates

>Override Contract Back-Dating – Back-date Unit Contract Dates beyond the number of days specified in the Project Admin Center under Inventory Contract Back-dating (Days) in Project Preferences; must also have Modify Inventory Dates permission (If the number of days in Project Preferences is set to zero, Users with the Modify Inventory Dates permission will be able to back-date.)

>Manage Locked Inventory – Mark multiple Units as locked; Users with this permission have the ability to make changes to locked Units based on other Inventory permissions; must also have >Inventory List and Basic Information permissions

Users who do not have Manage Locked Inventory permission cannot make changes to locked Units with the following exceptions:

      • If a User has Tenants permission, they have the ability to add Tenants to locked Units
      • If the User has Inventory Contract permission, they will be able to print uploaded contracts

>Manage Reservations – View Unit Reservations

>Premiums – View Unit Premium details

>Add Premium – Add Unit Premium

>Delete Premium – Delete Unit Premium

>Tenants – Assign/remove Tenant to/from Unit; add/edit lease details including Least Start and End Dates and Lease $ amount (If a User does not have Manage Locked Inventory permission and they do have Tenants permission, the User will be able to add a Tenant to a Unit.)

Project Overview - Project Overview is on the Inventory Center home page and includes total revenue numbers for Options and Upgrades, Parking Stalls, Lockers, Price Revisions, and Premiums (If the User has the Inventory permission, they can view the Project Overview without the Project Overview permission.)
