Understanding Email Activities and Mass Mail
There are two types of default email activities in Lasso and an important distinction between the two:
1 - Email - Always contains a template (e.g. a Sales Rep might use when inviting all realtors to a cocktail party). When scheduling an Email activity for Registrants, an Email Template field is automatically provided and a template must be selected in order to add the Email activity. When email activities that contain templates are completed from the Sales Center Home Page, they are sent through Lasso's mass mail server.
2 - Personalized Email - Does not contain a template (e.g. a Sales Rep might use when sending a prospect a personal email to thank them for attending an event). When scheduling a Personalized Email activity, no Email Template field is provided. When email activities that do not contain templates are completed from the Sales Center Home Page, they are not sent through Lasso's mass mail server.
Sales Reps have two options for completing email activities in Lasso:
1 - From the Sales Center Home Page
2 - From the registrant profile
The reason the distinction between the two types of email activities is important is because these activities are recorded and consequently reported differently when completed from the Sales Center Home Page versus the registrant profile. The difference is as follows:
- Email – When a Sales Rep clicks on Email in the Activity panel of the Sales Center Home Page and chooses to send the email to the selected registrants, the emails are sent through Lasso’s mass mail server. The advantage to emails being sent through this server is that Lasso users are able to see in the registrant profile whether the email has been opened and/or any links have been clicked on because the emails are treated as mass mail. Previously, these emails were only sent through the mass mail server if there were 20 or more going out at the same time (change as of September 2016). The emails sent through the mass mail server are recorded in the Mass Mail panel of the Registrant Profile.
- Personalized Email – When a Sales Rep clicks on Personalized Email in the Activity panel, they need to open the list of registrants and send individual emails via each registrant's profile. The email is a personal message to the Registrant and does not contain a template. These emails are not sent through the mass mail server. Emails sent from the registrant profile are recorded as Email in the History panel of the registrant profile and are identified as Email in Lasso’s History Reports.
Viewing Email Activities Completed from the Sales Center Home Page
Completed email activities that have gone through the mass mail server will show as Activity in the Mass Mail Summary Report and Email in the Activity Summary Report.
When the Mass Mail Summary Report is first generated, it shows only mass mails by default. To see the emails that were completed from the Sales Center Home Page, select activity under the Type Filter and click Filter.
In the Activity Report, under the Activity Type Filter, select Email and click Filter.
Note: The First and Last Contact and Comments Report, Registrant History Report, Sales Rep Registrant Contacts Report, and the Aggregate Traffic Activity Report will also show the completed emails as Email.
